My Role

UI/UX Designer

This was the motto that inspired us to tackle the theme of sustainability for

UBC PMC x TELUS Product Sprint

🥈Awarded Runner-Up

Product Sprint is a product management case competition hosted by UBC Product Management Club, with the support of TELUS.

Overview

Solution

SYNAPSE

By enhancing internal and external connectivity, speeding up decision-making, and eliminating gaps in documentation. Synapse empowers teams to work smarter — just as neural synapses power the brain’s ability to process and respond effectively

Product Sprint Phases

User Flow

  1. Discovery

Understanding TELUS and Its Market Landscape

During our first phase, our team focused on conducting secondary research on TELUS, its market, and the challenges it faces, then validate these problems through customer discovery to ensure alignment with real customer needs.

User Flow

Features of Collaborative Tools

Our team’s findings on the key features that drive the effectiveness of collaborative tools

How real time Collaborative tools improve documentation

Our team conducted a competitive analysis to compare collaborative tools, including Confluence, Notion, JIRA, and Miro.

Low-Code / No-Code Automation Tools

Zapier, Airtable, and Coda are designed to automate tasks and build applications with minimal or no coding experience.

User Flow

User Stories

Identifying Potential Users and Product Appeal

Our team created user stories to illustrate the product's end-to-end user journey, with a primary focus on Product Managers, highlighting the two features below:

Conducting User Interviews

Exploring the Daily Workflow of a Product Manager

We contacted various Product Managers to gain deeper insights into their daily routine and also distributed a survey to TELUS employees.

User Flow

  1. Product Planning

During Phase 2, our team focused on brainstorming and prioritizing key features, then defining a Minimum Viable Product (MVP) to concentrate on the most essential functionality for the initial launch and user feedback.

DEFINING THE PROBLEM

How might we improve the way product teams at TELUS align on and communicate product requirements and processes?

Formulating the Hypothesis

If we centralize product documentation, integrate reporting processes, and improve communication and collaboration practices across teams, then product requirements will be more clearly defined, information will be easier to access, and stakeholder engagement will improve, leading to more efficient reviews, quicker feedback cycles, and ultimately faster and more successful product delivery.

Detailed Feature Specifications

Core Features and Functionality of Synapse

This outlines the core features of Synapse, including seamless data integration with Slack and Google Workspace, an AI-driven summarization engine, and customizable report generation. It ensures standardized, clear communication across teams with tailored newsletters and regular user feedback for continuous improvement.

Minimum Viable Product (MVP)

The creation of lo-fi wireframes allowed us to layout the basic structure of Synapse’s dashboard.

Here’s the initial foundation of the components and screens to map out Synapse’s dashboard features.

Success Metrics

The success metrics for Synapse focus on improving report clarity, alignment, user adoption, efficiency, and stakeholder satisfaction.

Key goals include achieving at least 90% clarity and completeness in reports, reducing follow-up clarification meetings by 50%, ensuring over 80% adoption of the plugin by TELUS product teams, cutting manual report generation time by 50%, and maintaining a stakeholder satisfaction rating of 4/5.

These metrics are validated through industry benchmarks, supporting data, and quantitative evidence, ensuring that Synapse delivers tangible improvements in communication and productivity.

Prototyping and User Testing

  1. Construction

During Phase 3, we designed high-fidelity mockups and developed a functional AI-powered Jira plugin to address communication and workflow inefficiencies for product teams.

User Flow

Establish Synapse's Visual Identity

Our team developed Synapse's visual identity by creating a comprehensive style guide and designing a custom logo, ensuring that Synapse has a unique and recognizable identity that reflects its purpose, fosters a stronger connection with users, and leaves a lasting impression.

User Flow

Designing Hi-Fi Mockups and Coding Jira Plugin

These high-fidelity prototypes and functional Jira pluign demo provided a realistic preview of the vision that Synapse could be easily navigable across product teams at TELUS.

Synapse Jira Plugin Demo

In this demo, our team entered example questions into the chatbox as part of the JIRA plugin. The plugin retrieves answers based on the workspaces you have connected (e.g., Slack, GitHub, Google Workspace).

User Flow

As we entered the final stages of the design process for Synapse, we presented our prototype, and well…

We won Runner-Up! 🥈

Reflections

This opportunity has allowed me to further explore Product Management, combining it with my growth in UX Design.

  1. Seamless Integration: Integrating smoothly with existing tools like Jira ensures a cohesive workflow, allowing teams to work more efficiently without disruptions or compatibility issues

  2. User-Friendly Interfaces: Ensuring intuitive and easy-to-navigate interfaces is essential for driving adoption and making the product accessible to all users
